What is a VAT Direct Debit?

A VAT Direct Debit is an instruction businesses give HMRC that allows them to collect VAT payments automatically from their business bank account. HMRC initiates the payment, and businesses file the return as normal.

How does a VAT Direct Debit work?

Instead of manually logging in to pay each quarter, you authorise HMRC to collect the amount due after you submit your VAT Return. This happens automatically, usually three working days after the return deadline.

Automating VAT payments through Direct Debit reduces your risk of late submissions and penalties. This small change could have a significant impact on cash flow and compliance. It is also completely secure and backed by the direct debit guarantee.

Why set up a VAT Direct Debit?

Setting up a Direct Debit to pay your VAT offers several benefits:

  • Avoid missed payments and potential penalties
  • Save time by automating the payment process
  • Maintain cash flow - payments aren't taken until a few days after submission
  • Stay compliant with HMRC regulations

If you're still paying VAT manually, it might be time to rethink your process.

How to set up a VAT Direct Debit step-by-step

Setting up a Direct Debit for VAT is straightforward, and it can all be done online via your HMRC business tax account.

1. Check your eligibility

You are eligible if you are VAT-registered in the UK and have a UK bank account that works alongside direct debits.

2. Check you have the correct information

Before you log on, check you have gathered all the correct documents and information. You will need your VAT registration number and bank account details alongside a confirmation that your account is direct debit-authorised.

3. Log into HMRC

Log in to your HMRC Government Gateway account.

4. Set up your VAT direct debit

Once you’ve logged in, follow these steps to set up your VAT direct debit in no time:

  1. Go to your VAT online services.

  3. Complete the VAT Direct Debit form with your business bank details.
  4. Confirm the details and press submit.

Remember, you must set up your Direct Debit at least three working days before your VAT return is due. Otherwise, it won't activate in time. Once set up, you'll receive confirmation, and your Direct Debit will apply to future VAT returns unless you cancel it.

Paying VAT by Direct Debit: key points to know

Some key points to take note of when using Direct Debit to pay VAT are:

Manual VAT return still applies

You must still submit your VAT return manually. The only automated part is the payment taken by HMRC. If you don’t submit in time, penalties could be applied.

Insufficient funds

Funds will be collected three working days after the return deadline, so plan accordingly to avoid any penalties. You will receive a notification before HMRC takes any money, giving you time to plan.

Cancel anytime

You can cancel the Direct Debit anytime through your HMRC account or with your bank. However, if you cancel while still owing a payment, you’ll have to pay it manually.

Filling out VAT Direct Debit form

When setting up your Direct Debit online, you'll fill out a Direct Debit Mandate, otherwise known as a Direct Debit Instruction, that asks for:

  1. Your business bank account number and sort code
  2. Authorisation that you're allowed to set up payments on behalf of your business
  3. Confirmation that you understand the terms of the Direct Debit agreement

You don't need to post anything; it's all done online!
